Relocating an office over a weekend without losing Monday

Household moves are judged on whether anything broke. Office moves are judged on whether the business ran on Monday. Those are different problems, and the second one is mostly a planning problem rather than a lifting one.

Start from the new floor plan

Before anything is packed, the new office needs a numbered floor plan: every desk position gets a number. Then every desk, chair, pedestal, monitor and cable bundle from the old office is labelled with the position number it is going to. Crews do not need to make a single decision on the day, and nobody spends Monday morning hunting for their own monitor.

This sounds obvious and it is the step most often skipped. Without it, a forty-person office arrives as a pile of identical black furniture.

IT is its own project

Servers, switches and network gear should move separately, powered down properly, with photographs of every patch panel and cable run before anything is unplugged. Get the new office's internet circuit live and tested before moving weekend — commissioning a new line can take two to three weeks and it is the single most common cause of a Monday that does not happen.

Give each employee a personal crate for their own drawer contents, labelled with their name and desk number. It removes a whole category of Monday complaints.

Sequence the weekend

Friday evening: pack and label, after hours, once people have gone home. Saturday: furniture and bulk. Sunday: IT installation, testing, and a walkthrough with your own team to catch what is wrong while there is still time. Do not plan to finish on Sunday evening — plan to finish Sunday afternoon and keep the evening as slack, because something always needs it.

Two things to sort out early

  • Building permissions at both ends. Commercial buildings are stricter than residential ones: goods lift booking, security clearance and insurance certificates for the moving contractor are commonly required, and they take days to arrange.
  • What happens to what you are not taking. Old furniture, dead hardware and archive boxes need a destination. Decide on it before moving weekend, or it becomes a problem you solve while trying to open a new office.

Tell people what to expect

A one-page note to staff — what to pack, what not to, where their crate will be, who to call on Monday if something is missing — removes most of the noise. The move is not really finished until people can find their things and get on with work.
